The takeaway

Compare a complete first-year total and a separate renewal total. Keep the license cost, required services, usage allowances, and contract assumptions visible. A blank quote line means unknown, not free.

How much does RFP software cost?

For SavixRFP, one Starter seat costs $99 a month; the Team plan costs $299 a month for up to 10 people. Team has a lower subscription total from 4 members. These are Savix prices, not a market-wide price range: other platforms may bill by seats, usage, or a custom contract.

The table shows subscription costs in USD. The 12-month figure is twelve monthly payments at unchanged rates, not an annual discount or a full deployment quote. Taxes, internal staff time, and any separately agreed services are excluded. Compare plan scope as well as price.

Compare the billing unit before the headline price

Ask what counts toward each allowance. Reviewers who log in once a month, duplicated projects, large attachments, and peak response months can change the purchase you need. Record confirmed terms instead of assuming a vendor uses the same definitions as another.

RFP software billing models and questions to resolve
ModelWhat to confirm
Per seatWhich writers, reviewers, admins, and occasional contributors need a paid license?
Flat team planHow many members are included, which roles count, and what happens above the limit?
Per projectIs the limit annual or concurrent? Do reopened or copied responses count again?
Usage basedWhich unit is metered: answers, documents, pages, credits, or another unit? What is the overage rate?
Custom quoteWhich users, modules, integrations, services, and contract period does the written price cover?

Calculate first-year and renewal cost separately

First-year cost combines recurring charges with implementation and other one-time work. Renewal cost usually excludes one-time services, but may reflect a different workload or a contractual price change. Record those assumptions alongside the number so a reviewer can reproduce it.

Worked example, not a vendor quote: five paid users at $100 per month cost $6,000 a year. Add $2,000 for one-time onboarding and $1,200 a year for a required add-on. The first-year total is $9,200; renewal is $7,200 if users, prices, and add-ons remain unchanged. Taxes, overages, and internal staff time are excluded from this example.

Do not compare the $100 seat price with another vendor's complete annual quote. Also distinguish monthly billing from an annual commitment expressed as a monthly rate: the payment schedule and cancellation window may differ.

A simple cost model — use the vendor's quoted amounts
First-year cost = annual subscription + recurring add-ons + expected overages + one-time implementation and migration

Renewal cost = renewal subscription + recurring add-ons + expected overages + any newly required services

Keep internal staff time, taxes, and currency assumptions separate so each comparison uses the same basis.

Use the same workload for every quote

Prepare one evaluation brief and send it to each shortlisted vendor. The worksheet has a scope row and cost rows for three vendors. Blank amounts are deliberately left blank; fill them from current plan terms or written quotes, then calculate the totals in your spreadsheet.

  • Paid writers, reviewers, administrators, and occasional contributors.
  • Annual response count, typical document size, and a realistic peak month.
  • Source library size, migration needs, and the export formats buyers require.
  • Required identity, integration, data-handling, and support requirements.
  • Implementation scope, training responsibilities, contract term, and renewal assumptions.

Check the trial against the plan you would buy

A trial is most useful when it tests the actual drafting, review, and export work your team needs. Confirm the duration, payment requirements, feature and usage limits, data handling, and whether your results can be exported before uploading company material.

Use a representative RFP and approved source documents. Record time to a reviewer-approved answer, missing or conflicting claims, contributor effort, and export cleanup. A faster first draft is only one part of the process; check what reviewers must do before submission.

You can try SavixRFP's free compliance matrix generator without an account. It extracts a requirements checklist and supports Excel or CSV export. That is separate from a trial of the full response workspace; the workspace's trial terms are shown during signup.

Questions to resolve before a purchase

Ask the vendor to confirm material terms in writing. This checklist helps with a software evaluation; it does not replace your procurement, security, or legal review.

  • Which seats and contributor roles are included?
  • What are the usage limits, overage units, and overage prices?
  • Are required controls, integrations, exports, and support included?
  • Are implementation, migration, and training optional or mandatory?
  • What changes at renewal, and when must cancellation be requested?
  • Can the trial validate the same workflow and controls as the proposed paid plan?

Quick checklist

  • Same users and workload used for every vendor
  • Quote source and date recorded
  • Unknown amounts kept distinct from confirmed zero charges
  • First-year and renewal totals calculated separately
  • Payment schedule, term, and cancellation conditions confirmed
  • Trial checked with approved documents and a representative export
